An investigation records tracker spreadsheet helps answer three separate questions: what was requested, what has been received and what has actually been reviewed.
Useful records-tracker fields
Consider record ID, description, source, request date, received date, date range, review status, related issue and storage reference.
Do not treat received as reviewed
Separating receipt and review status makes unreviewed material visible even after a request has been fulfilled.
Track missing or partial material
Record whether a response was complete, partial or still outstanding and create follow-up where appropriate.
Reference records throughout the case
Stable record IDs make it easier to cite the same material in timelines, leads, interviews and summaries.
