Records requests can generate their own workflow: request sent, acknowledgement received, clarification needed, partial production, follow-up and completion. An investigation records request log keeps that history visible.
What to track
Useful fields include request ID, record requested, recipient or source, date sent, method, due or follow-up date, status, response date, records received and next action.
Separate requested from received
A request is not complete merely because it was sent. Track receipt and review separately so outstanding material remains visible.
Record partial responses
If only part of a request is fulfilled, preserve what arrived and identify what remains outstanding.
Connect received records to the source log
Once received, index important records in the appropriate document or source record so they can be referenced from the chronology and leads.
