Investigation Evidence Tracker Spreadsheet: Organize Records, Sources and Review Status

An investigation evidence tracker spreadsheet can provide a searchable index of records and other source material connected to a case. Its purpose is organization and reference, not replacing procedures that may apply to evidence handling.

Useful tracking fields

Consider item ID, description, source, relevant date, date received, related issue, review status, storage reference and notes.

Use stable item IDs

A consistent identifier allows an item to be referenced from a timeline, interview, lead or report without copying the entire record.

Preserve source information

Record enough information to identify where the item came from and locate the underlying record.

Separate receipt from review

A record may have been received without yet being reviewed. Track those states separately so pending review remains visible.

General organizational tools only; not an official evidence form, chain-of-custody record or legal advice. Follow all applicable evidence and preservation requirements.
